Automatic Email Invoicing Upon Job Completion
Summary:
A feature has been proposed to allow for invoices to be automatically emailed to clients upon the completion of a job.
This would streamline the billing process by ensuring invoices are sent promptly without manual intervention.
Details:
Current Functionality: Invoices can be set to change to "open" status automatically upon creation or completion of a job.
Proposed Enhancement: Introduce an option within the invoice settings to enable the automatic emailing of invoices, using the preset "invoice email" content, once a job is marked as completed.
Settings Integration: This feature would be an extension of the existing invoice settings, providing an additional option for users to automate the invoicing process further.

Benefits:
Increases efficiency by reducing the need for manual invoice sending.
Ensures timely delivery of invoices to clients, potentially leading to quicker payments.
Enhances the overall invoicing workflow by integrating automation in line with job completion.

We recommend using JobLink or the Client Portal to address this need. Both options allow your clients to access all associated documents such as invoices, reports, quotes/proposals, and treatment certificates in one central, secure location. This eliminates the need to manually send multiple attachments and ensures clients always have access to the most up-to-date information related to their jobs.
By enabling JobLink or granting Client Portal access, you can streamline your communication and significantly reduce administrative overheads. The JobLink can be added to Job Type Template communication that can be triggered on the job status being set to ‘complete’.

Hey,
The recommendation to use JobLink / Client Portal doesn’t address the original request.
The proposal is specifically for automatic emailing of invoices upon job completion, using existing invoice email templates — not for providing clients with access to another portal. The consistent feedback we receive from clients is that this approach feels like “yet another portal” they’re expected to log into, which many are reluctant to do.
Manually emailing invoices after every completed job is a significant time cost for our team. Automating this single step would save hours of administrative work while aligning with established client expectations of receiving invoices directly via email.
Is there a technical or workflow reason why this couldn’t be offered as an additional option, alongside JobLink? Having multiple options would allow businesses to choose what best suits their clients and internal processes.
Appreciate you taking the time to consider this.

Hi Jamie
You could also try using a Job Type communication that includes the invoice details, and set it up to trigger with the invoice link included. Would that help with what you’re trying to achieve?
Just to clarify, the job link isn’t a separate portal, it’s simply a web page where your job reports and invoices are available in one place.
Please feel free to let me know if you have any questions or if you’d like help setting this up. This item is still on the feature board for you, and in the meantime I’m happy to explore any options that might help streamline your process.
